How to write a quotation that gets approved

A good quotation answers the customer's questions before they ask them: what exactly will be done, what it costs, how long the price holds and how to say yes.

Start with the scope of work

Most disagreements after a job come from two people remembering the scope differently. Write what will be done, where, and with what materials, in plain words.

Supply and install one 1.5 ton split AC unit in the master bedroom, including 3 metres of copper piping, drain line and electrical connection to the existing power point.

Price each line

  • One line for each service or item, with its quantity and unit
  • A unit that fits the work: job, visit, hour, square metre, piece
  • The total at the bottom, and whether VAT is added or does not apply

Say how long the price holds

Give a valid-until date. Fifteen or thirty days is common. Material prices change, and an open-ended quotation can come back months later.

Add your terms

  • Payment: for example 50% in advance and 50% on completion
  • What is not included, such as civil work, permits or parking fees
  • Warranty on the work and on parts
  • That extra work is quoted separately and done only after approval

Make it easy to say yes

Send it where the customer will read it. In the UAE that is usually WhatsApp. Follow up after two or three days if there is no answer.

In Tichkuly CRM, your standard terms are filled in on every new quotation, the valid-until date is set for you, and an approved quotation becomes an invoice in one tap.

Short answers

Should a quotation be signed or stamped?

A company stamp makes a quotation look complete and is expected by many business customers in the UAE. A written approval from the customer, even a WhatsApp reply, is worth keeping.

Should I show VAT on a quotation?

If you are registered, show the price before VAT, the VAT and the total. If you are not, say that no VAT applies so the customer does not have to ask.

How detailed should the scope be?

Detailed enough that someone who was not in the conversation would understand what is and is not included.
