What to put on a receipt

  • Your business name, address and phone (and tax number if you are registered)
  • The word Receipt and a receipt number
  • The date of payment
  • The customer's name
  • What the payment was for, or the invoice number it pays
  • The amount paid and the currency
  • How it was paid: cash, card, bank transfer or cheque
  • The balance still due, if it was a part payment

A simple example

Cash payments

For cash, write the receipt at the time of payment and give the customer a copy straight away. Keep your own copy too.

Short answers

Is a receipt the same as an invoice?

No. An invoice asks for payment; a receipt confirms payment was made.

Do I need a receipt number?

It is good practice. A unique number makes each receipt easy to find and check later.

Can I send a receipt on WhatsApp?

Yes. A PDF or a link sent by WhatsApp is a common and accepted way to give a receipt.
