1. Put your business details at the top
Your business name, logo, address, phone number and email. If you are registered for VAT or sales tax, add your tax number here as well.
2. Add the customer's details
The customer's name or company name, their address, and their tax number if they are a registered business and your country asks for it.
3. Give the invoice a number and a date
Every invoice needs its own number. Use a sequence that never repeats, such as INV-2026-00001, INV-2026-00002. Add the invoice date and, if you give credit, the due date.
4. List what you sold
One line for each product or service: a short description, the quantity, the price for one, and the line total.
- Write descriptions a customer will recognise later, such as “AC deep cleaning, 3 units”
- Keep the unit clear: hours, pieces, visits, square metres
5. Add tax and the total
Show the subtotal, any discount, the tax on its own line with its rate, and the total to pay. If you are not registered for tax, do not add tax.
6. Say how to pay
Your bank name, account name and IBAN or account number, and any other way you accept: cash, card, payment link. Add the payment terms, for example “Payment within 7 days”.
7. Send it the way your customer reads it
Send a PDF, or a link that opens it. Many small-business customers answer WhatsApp faster than email. Keep a copy of every invoice you send.
